ENROLMENT IN HIGHER YEARS

 

Enrolment in higher years in the 2017/2018 academic year for all cycles takes place via the STUDIS academic information system, which can be accessed online at: studij.fri.uni-lj.si. You can fill in an enrolment sheet starting on 22 August 2017, on the day after you meet the conditions for enrolment in the year in which you wish to enrol. The entire enrolment documentation must be sent to the FRI Student Office by no later than 29 September 2017.

 

Enrolment for those repeating any year will be open from 15 to 29 September 2017.

The period for enrolment under the criteria for transfers is from 1 to 15 September 2017.

Conditions for advancing to the next year in the first cycle:

Students who have completed course units consisting of 53 credits may enrol in the second year.

Students who have completed all the requirements of the first year (60 credits) and course units consisting of 53 credits in the second year may enrol in the third year.

Foreign students must meet the additional condition for enrolment in the second year of passing an examination of knowledge of the Slovenian language.
  

Conditions for advancing to the next year in the second cycle:

In order to enrol in the next year, students must have completed all first-year course units.
 

Conditions for repeating a year:

The following are required for repeat enrolment in the same year:

  • at least half the course units for that year of the programme (i.e. 30 credits),
  •  all the requirements from lower years.

Students may only repeat a year once during their course of study; a change of study programme owing to non-fulfilment of requirements in the previous programme is also considered to be repeating.

 

 

ELECTRONIC ENROLMENT IN HIGHER YEARS OF UL FRI PROGRAMMES


 

Take the following steps to enrol:

  1. Register in the system using your digital UL-ID. If you have any difficulty with your identification, refer to the ID portal site for user help https://id.uni-lj.si, register an error.
  2. Once you get to your own personal window, click on the relevant link under the heading “Fulfil conditions for enrolment” and continue to enter or change your personal data on the enrolment sheet.
  3. After completing the entries and the consent to use your personal data, click on the link “Continue” and continue to the selection of subjects.
  4. Select the applied elective subjects and general elective subjects in your syllabus from the list offered, in accordance with the rules of your study programme. The system immediately checks the compliance of the selected subjects with the rules, and you can follow this in the section “Rules for subject selection”. Carefully consider in advance which subjects you wish to select. You can read the brief content summaries of the subjects presented on the website, and can also take note of the information on this year’s web classroom, but in that case watch out for changes and new features in the study programmes. 
  5. After you have made the selection of the applied elective subjects and general elective subjects that amount in your syllabus to a total of 60 credits, click on “Complete subject enrolment. If you are selecting a general elective subject of another Faculty, you must present to the Student Office a completed request for enrolment in a general elective subject at another faculty.
  6. After the selection of your syllabus, the screen will display the enrolment sheet for you to check. Under the enrolment sheet it will display the syllabus for the year in which you are enrolling. You can only complete the enrolment sheet on the website once, so before final confirmation check carefully to ensure you have correctly entered the data and selected the desired subjects. If you need to you can return to the previous page and make corrections.
  7. If the data you entered are correct, confirm the enrolment sheet. On the next page select print enrolment sheet, print both sides of it, check it and then you must sign it. Your enrolment will not be valid without your signature on the printed sheet.
  8. Send the following documents to Fakulteta za računalništvo in informatiko, Študentski referat, Večna pot 113, 1000 Ljubljana,
    • printed and signed enrolment sheet,
    • student identification card (we will return your student ID with a new sticker by registered mail a few days after the enrolment process has been successfully concluded),
    • completed forms you will need for various forms of public transport and which are obtainable at the transport operating companies,
    • a photocopy of confirmation of payment of enrolment fee (complete the universal payment order – UPN – following the sample printed for you together with the sheet; give the precise stated reference in making your payment). We ask you to note carefully that the system will not register your payment if the reference is not stated correctly,
    • medical examination certificate (only for students enrolling for the first time in the second year).
  9.  The formal part of your enrolment is concluded when the FRI Student Office receives your completed and signed copy of the enrolment sheet and confirms enrolment. In view of the procedure of sending documents, verifying your data in the eVŠ (e-higher education) system in Slovenia, making any necessary corrections and confirming enrolment, we ask you to send us your enrolment documentation as soon as possible and by 25 September 2017 at the latest. In the event of submitting an incomplete application or other problems in completing electronic enrolment, you can enter data and complete your enrolment in person at the Faculty pursuant to the timetable. You must bring with you confirmation of payment of the enrolment fee.
  10. In the STUDIS academic information system you can monitor the completion of your enrolment and any requests from the Student Office for you to make corrections on the enrolment sheet. After successfully concluding the enrolment procedure, in a few days you will receive by regular mail six confirmations of enrolment for the 2017/2018 academic year and your student identification card with a new sticker and confirmation for your application for subsidised transport (if you submit the application together with your signed enrolment sheet). 
  11. The final deadline for enrolment is 29 September 2017. After that date enrolment is closed, and will only be possible in exceptional circumstances. 
           

Enrolling at the Faculty in the event of difficulty filling in the electronic enrolment sheet

In the event of submitting an incomplete application or other problems in completing electronic enrolment, you can enter data and complete your enrolment in person at the Faculty in accordance with the enrolment timetable for the 2017/2018 academic year. Enrolment will be in computer classroom R14. You must bring with you: confirmation of payment of enrolment costs, a signed enrolment sheet, student ID card and medical examination certificate (only for students enrolling for the first time in the second year).

Repeat enrolment in the same year and enrolment in a higher year in exceptional cases and extension of student status for justified reasons

Complete a request in the STUDIS system. Print and sign your completed request and send it by registered mail together with the necessary enclosures by no later than 20 September 2017 (postmark date) to the following address: Fakulteta za računalništvo in informatiko, Večna pot 113, 1000 Ljubljana. The Committee will not consider late applications.

Check whether you have recorded in the electronic index all the grades of exams taken (you do not need to produce exam certificates). If you find that the grades are not recorded, approach the person or body in charge of the subject.

Processed requests for repeat enrolment in the same year and enrolment in a higher year in exceptional cases and extension of student status for justified reasons will be published in the STUDIS information system by Thursday, 28 September 2017Enrolment of students with accepted applications will take place on Thursday, 28 September 2017 (see enrolment timetable).

 

Enrolment for those repeating any year

Enrolment for those repeating any year will be open from 15 to 29 September 2017. For repeat enrolment in the same year students must have completed at least half the programme requirements of that year (i.e. 30 credits) and all requirements from lower years.

Students may only repeat a year once during their course of study; a change of study programme owing to non-fulfilment of requirements in the previous programme is also considered to be repeating. Students who repeat a year or change their study programme cannot enrol in an additional year after their final semester of study.

Students who will repeat a year in the 2017/2018 academic year may complete a certain number of subjects in higher years in advance, in accordance with Article 9 of the FRI Rules of Study.

You must register for subjects you intend to complete in advance through the academic information system, by selecting the subjects upon enrolment in the repeated year. If you are enrolled for a repeat year, you do not need to pay for laboratory practical work. You will be notified of approval/rejection of completing subjects in advance via the information system upon confirmation of enrolment.
  

Continuing studies after a break of more than 2 years

Students who have been without student status for more than two years must first submit a request for continuing studies after a break of more than two years. Requests are submitted via the STUDIS academic information system.

An exception applies to those students who wish to submit an application to continue or complete their studies and have never been processed in the STUDIS information system. In that case you should submit a request to continue or complete studies on the form available on the website. Submit the request to the UL Student Office, which will grant you the right to enrol and if necessary arrange your digital identity. 

Changing elective subjects and withdrawal from subject

 

In accordance with Article 4 of the Rules of Study, over the course of the entire programme students may change a maximum of two elective subjects in their syllabus. Subjects can be changed at the start of the academic year. In exceptional cases, for instance a timetable overlap, students can change a subject in their syllabus during the academic year, but no later than 14 days after the start of the subject, based on an approved request. You can complete a request to change an elective subject in the STUDIS system.
  

INSTRUCTIONS ON REGISTERING FOR LABORATORY TUTORIALS IN THE 2017/2018 ACADEMIC YEAR

 

Students who will not be enrolled full-time at UL FRI in the 2017/2018 academic year (persons without status) and who wish in this year to complete the requirements in specific subjects, must register for laboratory tutorials in the specific subject at the beginning of the academic year. Registration is open from 15 to 25 September 2017.

Registration for laboratory tutorials is completed in the Studis study information system.

Students who have interrupted their studies for several years and have no access to the Studis system should first go to the FRI Student Affairs office, which will arrange everything necessary to access Studis. The user name you will receive to access Studis is also your Faculty e-mail address at which you will receive all notifications and invoices.

In the STUDIS information system, select the desired laboratory tutorials. When you have made your selection, you will receive in your Faculty e-mail notification of the selected subjects and a standard payment invoice for covering the costs of laboratory tutorials in the winter semester. The deadline for payment of laboratory tutorial costs for the winter semester is 25 September 2017.

Your signed registration form and confirmation of payment must be delivered to Student Affairs by 25 September 2017 at the latest; you can bring the documents in person, send them by registered mail to the Faculty of Computer and Information Science (Student Affairs), Večna pot 113, 1000 Ljubljana or send it by e-mail to studinfo@fri.uni-lj.si. Upon receiving confirmation of payment, Student Affairs will confirm your registration for laboratory tutorials. After confirmation of registration by Student Affairs, you will receive notification in your Faculty e-mail that your registration is confirmed.

You will receive the invoice for laboratory tutorials that you will do in the summer semester on 25 January 2018, with a payment deadline of 12 February 2018. We do not send out invoices by regular mail, but only in electronic form to the student’s university e-mail, which is identical to the digital identity with which you access Studis.

 

Registered candidates who do not settle their financial obligations for laboratory tutorials within the stated deadline will be automatically de-registered and will not be able to take laboratory tutorials in the current academic year.

In accordance with Article 8 of the UL FRI Rules of Study, laboratory tutorials are a compulsory part of the programme, and incremental work is an integral part of this. The validity of laboratory tutorials and other incremental requirements expires at the end of the academic year.

The fee for laboratory tutorials in an individual subject is charged in accordance with the valid UL FRI Price List, based on the Rules on Fees and Evaluation of Costs at the University of Ljubljana and the Instructions for Implementing the Price List for Fees, Tuition Fees and Costs at UL FRI. The fee for laboratory tutorials does not cover examinations.

In order to avoid additional court and legal costs we would ask you to settle your financial obligations on time.

 

Enrolment Confirmation

In the academic information system you can monitor the completion of your enrolment and any requests from the Student Office for you to make corrections on the enrolment sheet. After successfully concluding the enrolment procedure, in a few days you will receive by regular mail six confirmations of enrolment for the 2017/2018 academic year and your student identification card with a new sticker.

Student ID card

Send your student identification card to the Student Office by registered mail together with your signed enrolment sheet. After confirmation of enrolment the Student Office will return your student ID card with a new sticker by registered mail.

 

Students must request a new ID card if any personal data stated on the card changes. In that event the student submits to the FRI Student Office a request for a new card and submits the relevant document showing the changed circumstance. Students cover the cost of issuing a new card. Upon receiving a new card, the student must return the old one.

 

Identification cards can cease to be valid during the academic year for the following reasons:

  • when the student graduates or completes postgraduate studies,
  • on the day of withdrawal, if the student withdraws,
  • if the student has been expelled, on the day the expulsion decision becomes enforceable,
  •  on the death of the student,
  • on the date reasons given in Article 8 of the Rules on Student Identification Cards arise (e.g. mislaying, loss of theft, destruction owing to carelessness, etc.).
Immediately upon situations referred to in indents 1, 2 and 3 arising, the student must hand over the card to the Student Office for destruction.

CONTINUING STUDY UNDER THE CRITERIA FOR TRANSITIONS

 

The period for enrolment under the criteria for transitions is from 1 to 15 September 2017. Candidates for enrolment in a higher year under the criteria for transitions must submit an electronic application for enrolment under the criteria for transitions on the eVŠ website http://portal.evs.gov.si/prijava. In the application the candidate must state one study programme for which they meet the conditions for enrolment and the criteria for transitions.

If a candidate is applying with a qualified digital certificate, they must send by registered mail to UL FRI, Večna pot 113, 1000 Ljubljana, the relevant annexes to the application as required under point VII of the call (the annexe must state the reference number of the application for enrolment).

If a candidate is applying without a qualified digital certificate, they must send the application form electronically via the eVŠ, then print and sign it and send it by registered mail with the annexes required under point VII of the call by 20 September 2017 to: UL FRI, Večna pot 113, 1000 Ljubljana.
  

Completion of programmes for students of old study programmes (part-time enrolment in the third year of a Bologna study programme under the criteria for transitions)

The call for enrolment in the third year of part-time study under the criteria for transitions is open to students of old study programmes who have already exhausted all the options for regular enrolment and can complete their studies only through transition to the third year of part-time study in first-cycle Bologna programmes.

The condition for transition to the third year of first-cycle study programmes is the completion of all first-year requirements (60 credits) and at least 53 credits from the second year of old study programmes.

The application period for part-time enrolment under the criteria for transitions is from 1 to 17 September 2015. Candidates for enrolment in the third year under the criteria for transitions must submit an electronic application for enrolment under the criteria for transitions on the eVŠ website http://portal.evs.gov.si/prijava. In the application the candidate must state one study programme for which they meet the conditions for enrolment and the criteria for transitions.

If a candidate is applying with a qualified digital certificate, they must send by registered mail to UL FRI, Večna pot 113, 1000 Ljubljana, the relevant annexes to the application as required under point VII of the call (the annexe must state the reference number of the application for enrolment).

If a candidate is applying without a qualified digital certificate, they must send the application form electronically via the eVŠ, then print and sign it and send it by registered mail with the annexes required under point VII of the call by 17 September 2015 to: UL FRI, Večna pot 113, 1000 Ljubljana.


  Notice regarding submission of student requests  

Starting on 20 September 2017 the entry of student requests will be implemented via the STUDIS academic information system.  This will enable students to monitor various stages of the processing of their requests and to view the decision on final processing.

An exception applies to those students who wish to submit an application to continue or complete their studies and have never been processed in the STUDIS information system. These students should submit a request for the continuation or completion of studies.
